Client Schedule screen overview

Details about an individual client's scheduled visits appear on their Schedule screen. Appointments, enrollments, and class reservations for the future show within the schedule, and you can use filters to search for bookings occurring in specific date ranges. Other tools found on the screen allow you to cancel or reschedule bookings, view waitlist positions, check out appointments, or email or print a client's schedule.

Locate the Schedule screen

To access the client's schedule:

  1. Look the client up in the "Search for or jump to a client" field on the top left of your site.
  2. Click Schedule on the top right.

Filters

Some clients book recurring services or take advantage of their membership with your business by attending all types of classes. You can filter the bookings that show in the schedule by making a selection in the toolbar on the right.

  • Show All Dates: Displays all future scheduled visits.
  • Select date range: Displays scheduled visits within the chosen date range.
  • Printer-friendly view: Removes the date range filters from the top of the page.

Booking information

Date:
The client's schedule can be displayed by weeks or months, depending on your preference. By default, the bookings are separated by weeks, and you'll notice sections titled something like "Week of 1/25 to 1/30."

If you'd like the bookings to be separated by months, follow these steps:

Go to the Manager Tools screen, and then:

  1. Click on the Settings button.
  2. Click General Setup & Options.
  3. Click on Client Management to expand the section.
  4. Select Monthly beside "Schedule Display."
  5. Click Update to save your changes.

The day of the week, date, and time of each booking displays on the left.

Service name:
The name of the enrollment, name of the class, and appointment type and appointment service category show in the client's schedule.

  • Clicking on the name of a scheduled class opens the sign-in sheet for that class.
  • If the Reservation Notes option is enabled under your Class & Enrollments Options, you will be directed to the Client Visits details screen.
  • If you have waitlists enabled, you can go to the specific Class sign in screen and at the bottom will be a Waitlist display.

Staff:
The name of the staff member providing the booked service displays in the client's schedule. You can choose if the staff member's last name, first name, both first and last names, or nickname appears in the client's schedule by making your choice in the Staff Display Options section of General Setup & Options.

Location:
If a class or enrollment is booked in a room, or a specific business location, the location will show in the client's schedule. Appointments will not show specific rooms and resources, but will show the business location.

Booked online:
If a client booked a service on consumer mode, through branded web tools, on your branded app, or on the MINDBODY app, the Booked online column will show "Yes." If a staff member booked the service in business mode or on the business app, the column will display "No." More booking details, such as exactly how the client booked the service, can be found on the Schedule at a Glance report.

Tools

You can use various tools to print or email a schedule, check a client's waitlist position, or cancel a service in the client's schedule screen.

Printing the schedule:
If your computer is connected to a printer, you can click Print schedule to preview the printed schedule on your browser, and then click Print.

Emailing the schedule:
The option to email the schedule to the client will only appear if the Client Schedule (Manual) auto email is enabled. The email will send immediately to the email address in the client's profile after clicking "Email schedule," and a copy will appear in your client's Contact logs.

Checking a waitlist position:
If the client is waitlisted, you can click on the Waitlist(#) link to view the details, such as the booking type, date, time, and waitlist position.

Tools menu button:
You can use the Tools button at the top right to set the client Schedule screen as the default page when looking up a client, and/or manage your duplicate clients.

Service options

Beside each booking in the client's schedule, you can choose to reschedule or check out an appointment, cancel appointments, enrollments, or a class reservation.

Rescheduling an appointment:
You may reschedule an appointment from the client's schedule screen by following these steps:

  1. Click Reschedule to the right of the appointment you'd like to reschedule.

  2. Click OK on the light box that appears. The appointment will not be canceled until it has been rescheduled.

  3. The existing appointment's details will auto-populate in the Find an Appointment screen. You have the option to change preferences for a new search, such as a different instructor or date.

  4. Click Search.

  5. On the Search Results screen, click Book beside the appointment you'd like to book in place of the original.

  6. Confirm the details on the Book Appointment screen, and click Book appointment.

Canceling a service (class or appointment):
You may early or late cancel a service directly from the client's schedule screen by clicking on the corresponding links beside the service you'd like to cancel.

  • Early Cancel: Cancels the scheduled reservation without charging the client.
  • Late Cancel: Cancels the scheduled reservation and charges the client for the missed visit.

Checking out an appointment:
You may check out an appointment in the client's schedule screen by clicking Check Out.

  • If the client has a prepaid pricing option for the appointment, the screen will refresh and the appointment will check out.
  • If the client hasn't paid for the appointment yet, you'll be directed to the Retail screen which will auto-populate the pricing option needed to pay for the service. After the purchase is completed, the appointment will be checked out.
